Information we collect
We may collect your name, telephone number, email address, preferred contact method, property location, property type, occupancy, tenancy information, approximate financial figures, your preferred outcome, marketing-source data and correspondence arising from your enquiry.
For security and abuse prevention, we may also process technical information such as a shortened or hashed internet address, browser information, submission time, form-security results and rate-limit records. Please do not send identity documents, bank details or sensitive tenant records through the general enquiry form.
Why and how we use it
We use your information to respond to your enquiry, verify that the enquiry is genuine, assess whether a property discussion is potentially suitable, communicate with you, arrange an appraisal or viewing, prepare and consider possible structures, keep appropriate records, prevent fraud or misuse, establish or defend legal claims and comply with legal obligations.
Depending on the circumstances, our lawful bases may include taking steps at your request before entering a contract, our legitimate interests in operating and protecting the business, consent where specifically requested, and compliance with legal obligations.
Marketing and contact preferences
Submitting an enquiry permits us to respond about that enquiry and any related property discussion. It does not automatically sign you up to unrelated marketing. Where separate marketing consent is required, we will ask for it. You can ask us to stop non-essential communications at any time.
Who we may share information with
Where necessary and lawful, we may share relevant information with authorised staff, professional advisers, solicitors, accountants, valuers, surveyors, finance providers, insurers, contractors, technology and communications suppliers, fraud-prevention or security providers, and proposed transaction parties. We do not sell personal information.
We will not share identifiable tenant information unless there is a lawful reason, it is necessary for the proposed transaction or management process, and suitable safeguards are in place. Some suppliers may process information outside the UK. Where this occurs, we will use an appropriate legal safeguard where required.
Website security and cookies
This website uses essential technical controls to operate the enquiry form and reduce spam, including a hidden anti-bot field, signed form token, server-side validation and rate limiting. If Cloudflare Turnstile is enabled, Cloudflare will process limited technical information to decide whether a submission appears to come from a genuine visitor. We do not currently use non-essential advertising or analytics cookies in this website package. This notice will be updated before any such tools are introduced.
How long we keep information
We keep information only for as long as reasonably necessary for the purpose for which it was collected, any continuing property discussion, legal claims and compliance. As a working retention schedule:
- enquiries that do not progress are normally reviewed and deleted or anonymised within 24 months of the last meaningful contact;
- records relating to a completed transaction or continuing contractual arrangement may normally be retained for up to seven years after completion or the end of the relationship, unless a longer period is justified;
- short-term technical security and rate-limit records are normally retained for no longer than 90 days; and
- minimal suppression information may be retained where needed to respect a request not to receive marketing.
We may keep information for a different period where law, litigation, fraud prevention or another documented reason requires it. Retention periods are reviewed periodically.
Security
We use proportionate technical and organisational measures intended to protect personal information. Access is limited to authorised people and suppliers who need it. No internet transmission is completely secure, so please use the agreed secure process before sending sensitive documents.
Your rights
Depending on the circumstances, you may have rights to ask for access to your personal information, correction, erasure, restriction, portability, or to object to certain uses. Where processing relies on consent, you may withdraw that consent. These rights can be subject to legal conditions and exemptions.
